Why this matters
Planning a field team’s day by hand is slow and lossy. Someone in the office drags jobs around a calendar, guesses the drive time between them, checks who is qualified and who is already booked, and hopes the order makes sense on the road.
Smart Scheduling & Route Optimisation does that planning for you. It assigns the right operative to each job by skill, location and availability, orders the day into an efficient route, and holds every booking to the working hours, capabilities and territory rules you define. That same route then follows the operative onto their phone, shows the office where the team is as the day unfolds, keeps customers informed automatically, and reports back on how the week actually ran.

For administrators
The optimiser runs on the data you give it, so setting your team up is where scheduling starts. Everything below lives in one place, under Settings, Scheduling.
Working hours, availability and closures

Set the hours your company works, including whether you operate at weekends or on bank holidays, then override them per operative where someone works a different pattern. Book leave for individual operatives and add company-wide closure days, in a list or on a calendar. Every one of those becomes a hard rule the scheduler will not book across.
Who is qualified for what

Mark which installation types each operative is qualified to carry out, and the engine will only ever offer them work they can legally do. Track the certificates behind those qualifications too, per installation type, so a missing or expired certificate is visible before it becomes a problem on site.
Where each operative works

Give each operative a home location, which is where their day starts and ends, and define the area they cover, either as a set of postcode territories or as a radius drawn on the map. Work stays in the right area, and drive times are measured from where people actually set off.
The rules behind the optimiser

Set the limits that keep a day realistic and fair: a maximum number of jobs per operative per day, a cap on total drive time, a minimum gap between appointments, and an end-of-day buffer. Set expected durations per job type so the day packs to a length your team can actually deliver. Set them company-wide and override them for individual operatives where needed.

Build the day automatically
Tell installHUB which jobs need doing and it builds the day for you. Automatic assignment picks the right operative for each job, by skill, location and who is actually free, then orders their visits into an efficient sequence, so the team spends less time driving and more time on site.

You stay in control. Run scheduling fully automatic, or review every suggestion before it is confirmed and adjust anything by hand. The choice is set per company, so the scheduler works the way your team already does.
The route and the drive time, on the day view
Switch the day view to the route map to see the day laid out geographically: numbered stops, each operative’s home base, and the actual road path between jobs. Back on the grid, every gap between appointments shows how long the drive will take, measured along real roads rather than as the crow flies. Short hops sit quietly, longer ones are flagged.
Availability at a glance
Each operative carries a clear indicator of whether they are free, working or unavailable, drawn straight from their working hours, with leave and company closures marked on the grid. Click an operative to see their workload and next free slots, handy when you are slotting in an urgent visit.
Clashes caught before they are saved

Drag a job onto a slot that will not work and the scheduler says so immediately, naming the reason.

Where a slot will not work, the reschedule assistant offers the nearest one that will, and applies it in a click.
Schedule a whole week in one pass

When there is a backlog to place, you do not have to book jobs one at a time. Select a batch, set the period you want to fill, and pick who it goes to. Each operative shows the work they already carry that week and the installation types they are qualified for, so you can see at a glance who has room and who can do the work.

Place the jobs against a simplified calendar, one column per operative, with their existing commitments shown for context. A running count tracks how many of the batch are placed. Anything that breaks a rule turns red and says why, and the batch cannot be confirmed until it is resolved or that job is set aside for later.

A final review lists every new appointment grouped under the operative who will carry it out, with the travel time from their previous stop. Choose whether customers are told by email, by SMS, both or neither, then confirm. The whole batch is booked together, so you never end up with half a week scheduled.
The team on a live map

The new Field Tracker gives the office a live picture of the day: every operative on one map, colour-coded by whether they are idle, travelling, on site or on their way to a customer, updating as they move. No more ringing round to find out where someone is.
Replay any day that has already happened

Pick an operative and a date and their whole day is drawn as a route, shaded from the start of the shift to the end so you can read the order at a glance. Play it back or drag the scrubber to any moment, and see the day’s stops alongside their actual check-in and check-out times, the hours they were on the road, and the distance they covered.
For operatives
The day arrives as a journey

Today and tomorrow land on the phone in the order they will be driven, starting from the operative’s home base, with the drive time and distance to the next job shown between them. Longer hops are flagged in amber so a heavy leg stands out before the day begins. Tap into any appointment for its full travel information and a Navigate button that opens the route straight in the phone’s own maps app.
The route in your pocket

A route map screen draws the whole day on a map, with the total drive time, total distance and how many stops are done, so the shape of the run is clear before setting off. Arriving on site checks the operative in automatically.
For your customers

Reminders that land on time
Customers hear from you without anyone in the office remembering to send anything.

Each type has its own switches, so you decide which channels are used and which stay off.
On the way, with a real arrival time

When the operative sets off, they see the arrival time the customer is about to be given and the exact wording of the message before it goes. The estimate is worked out from where the operative actually is, not from the booked slot, so a customer who is told 16:01 is being told something real.
Customers can confirm, or tell you they cannot make it

Every appointment message carries two links. One confirms the visit. The other opens a short page where the customer picks a reason and cancels. No login, no phone call, and no waiting for someone in the office to pick up.
A cancelled job returns to the scheduling queue straight away, marked for rebooking, and the operative who was going to attend is told not to travel. Confirmations show on the scheduler as a green tick, and an appointment still unconfirmed inside twenty four hours is flagged in amber so you can chase it before the van leaves. A customer who confirms can add the visit straight to their own calendar.
For managers

Workload and utilisation
A new Analytics page reports on how the team is actually running: utilisation per operative, job mix by status, and travel time trending across the period, each measured against the period before it so you can read direction as well as level. Narrow it to a date range or a group of operatives, export it to CSV or PDF, and keep a compact version of the same numbers on the main dashboard.
