Connect installHUB to Zapier

Available on Pro and above

Use Zapier to start Zaps when jobs are added, statuses change or payments land, and to update jobs from other apps. You’ll find it under Settings > Integrations > Zapier (https://app.installhub.com/admin/settings/integrations/zapier).

Who can set it up

  • You need the Admin or Account Manager role. Other users can open the page but can’t connect.
  • Your plan must include integrations. If it doesn’t, the page shows Not enabled instead of the Zapier tools.

Connect

  1. Open Settings > Integrations > Zapier.
  2. Pick a ready-made Zap from the list, or create your own. Zapier opens in a new tab.
  3. When Zapier asks for your installHUB account, sign in with your usual installHUB login. There is no key to copy.
  4. Your Zaps then show on the same page.

Triggers

  • Job added: a new job is created, or a job is shared with or transferred to your company. Sends the job reference, status, job type, customer and address details, the assigned field operative, any flags, the enquiry source and created and updated dates.
  • Job status changed: any status change on a job your company can see. Sends the job’s identifier, the status number and the status name.
  • Payment received: a customer pays. Sends the job reference, payment reference, amount paid, tax, amount still owed, currency, the customer’s and billing contact details, payment method, payment and due dates, and a receipt link.
  • Job submitted to DNO: a DNO application is sent for a job.

Customer details follow your sharing permissions: if your company only has limited access to a customer, the Zap gets limited details too.

Actions

  • Find a job: searches by the customer’s first or last name, postcode or job reference. Search on one name, not the full name.
  • Change a job’s status: moves the job to the status you choose. The move always goes through, even if the job’s checklist would normally block it. When it skips unfinished checklist items, the job gets an alert listing them, and the job can’t move on until they’re cleared.

Test a Zap

When Zapier tests a trigger, it fetches your latest example: the most recent job added, the most recently updated job, or the latest payment. If there isn’t one yet, the test fails until there is.

Turn it off

Turn the Zap off or delete it in Zapier. installHUB stops sending to it straight away. To disconnect completely, remove the installHUB connection in your Zapier account.

Common problems

  • Zap not firing: check the Zap is switched on in Zapier. Triggers also stop if your plan no longer includes integrations.
  • Wrong status: the status trigger sends both the status number and its name. Filter your Zap on the name shown in installHUB, and when your Zap changes a status, check it picks the status you mean.
  • Job missing from a trigger: you only get jobs your company can view.
