Available now on installHUB
Every user has a role that decides what they can see and do in installHUB. This guide explains the built-in roles, and how to give an admin extra rights with a custom role in Settings > Company & Access > Custom Roles.
The built-in roles
- Account manager: runs the company account. Everything an admin can do, plus users, company details, settings, subscription and billing, partners, custom forms, products and product types, job checklists and SLAs.
- Admin: the office role. Customers, jobs, quotes, the scheduler, appointments, reports and downloads, submissions, DNO applications and networks. Admins can also manage custom roles and override a blocking job stage gate.
- Operative: your field operatives. They work on the mobile app: their assigned jobs, appointments, job forms, photos and notes.
Click Roles Explained next to the Role field for a quick summary.
Who can give which role:
- An account manager can make someone an account manager, admin or operative, and can give one person more than one role.
- An admin can only add operatives.
Mobile app access
Every role can sign in to the mobile app. A user who is only an operative can’t sign in to the admin portal: they see “Your account is for the mobile app. We’ve sent a login link to your email.” To give a field operative office access as well, add the Admin role to their profile.
How roles shape the menus
The menu only shows what a role can use. For example, Customers, Jobs, Scheduler and Reports appear for account managers and admins; Partners and Subscription Plan appear for account managers. Users and Company Profile in your account menu appear for anyone with the matching permission, including through a custom role.
Menus refresh when the user next signs in.
Create a custom role
Account managers and admins can open Custom Roles, as can anyone whose custom role includes managing custom roles.
- Click Add.
- Enter a Custom role name (up to 50 characters, unique in your company) and an optional Description.
- Tick the Permissions you want. All Rights ticks them all. You must tick at least one.
- Click Submit.
The permissions fall into these groups:
- People: manage users; manage custom roles.
- Company: view company details; view and update company details (not billing).
- Products and forms: manage product types; manage products (tick product types too); manage the product on a job; manage custom forms.
- Checklists and SLAs: manage job checklists and stage gates; override a blocking stage gate; manage job status SLAs.
Some permissions only appear when the matching feature is on for your company.
Give a custom role to a user
Custom roles add to the Admin role. When you add or edit a user and choose Admin, the Select custom roles list appears (once your company has at least one custom role). Pick one or more and save. They then show on the About tab of the user’s profile.
Edit or retire a custom role
Click a role in the Custom Roles list to change its name, description or permissions. The change applies to everyone who has that role.
There’s no delete button on this screen. To stop using a role, edit each user who has it and remove it from Select custom roles.
If you’re an admin, roles given to you don’t appear in your list, so you can’t change your own permissions.
