Most integration problems have a quick fix. This guide covers the common ones for OpenSolar, Xero and QuickBooks. All three live in Settings > Integrations, which admins and account managers can open. To set one up, see the guides linked at the end.
OpenSolar
“Reconnect required” The OpenSolar login has expired. OpenSolar logins for normal users last 7 days; installHUB tries to set yours up so it keeps working, and the page tells you if it couldn’t. Click Reconnect and sign in again. Sold projects from about the last 30 days come in within the hour. For older ones, use Import existing projects or Import a project by ID.
Some details are greyed out, or a project shows “This project is on a different OpenSolar plan” What installHUB can bring in depends on your OpenSolar API plan. What your OpenSolar plan lets installHUB import shows what’s available; Raw Data API Access brings in more of each project than API Access. Change it in OpenSolar under Control > Integrations & Services, then click Re-check. A project that arrived without design data gets a single system total on its quotation rather than itemised lines.
A sold project hasn’t arrived installHUB also checks every hour for sold projects that haven’t come in, so most arrive on their own. A project needs a customer contact first; if the contact was added later, the job appears within the hour. Check your Sync start point too: by default only sold projects become jobs.
“Project(s) failed to import” The reason is under Activity, then Advanced. Fix it, then use Retry. “No matching survey type” means that product type needs a survey set up first.
The wrong projects came in Open Import history, choose the run and use Roll back. It removes the jobs nobody has worked on yet and keeps the rest.
Xero and QuickBooks
An invoice or payment didn’t reach your accounts Failed sends retry by themselves for about 20 minutes. Sync History shows any error. Nothing is sent while Integration enabled is off, and it isn’t caught up later. Editing a draft invoice sends it again.
The integration switched itself off The connection has lapsed. Use Disconnect, then connect again. Records stay linked, so nothing is duplicated.
“Sync failed” The error is shown under the banner. Fix it, then use Import from Xero or Import from QuickBooks.
VAT shows as zero in Xero installHUB matches each line’s VAT rate to an active sales tax rate with the same percentage, or creates one. If no rate could be matched or created, the line goes over as zero-rated with a VAT-inclusive amount, so the total is still right. Add the rate in Xero, then edit the draft invoice to send it again.
“Skipped” in Sync History Expected. Invoices and quotes only take changes from your accounts while they’re Draft or Void in installHUB.
Payments marked paid in your accounts don’t show in installHUB Record payments in installHUB. Marking an invoice paid in Xero or QuickBooks doesn’t mark it paid here.
Only one accounting integration can be on at a time. Connecting the other switches the first off, keeping its links.
