installHUB fills in your job documents for you, such as certificates and DNO forms, using the job’s details and the answers on its forms. You’ll find them on the Documents tab of any job.
Document templates, the layouts these documents are built from, are set up and maintained by installHUB. If you need a new document, a new field or a layout change, contact our support team.
What’s on the Documents tab
- Generated and uploaded documents: every document already on the job, with its Version, Type and Last updated date.
- Available document types: documents the job can have but doesn’t yet. Complete the job information and they generate on their own, or upload your own.
- Custom documents: anything else you want to keep with the job. Click Add document to upload it.
Use the icons on each row to View, Download, Upload your own file in its place, or View previous versions.
When documents generate
A document generates, or a new version is made, when:
- the form answers it uses are saved, by the office or by a field operative from the app;
- the job reaches a status that document is set to appear at;
- your company details on it change (name, logo, address, phone, email or company number), across your open jobs;
- the customer’s details on it change, across their active jobs.
While it’s being made, the row shows Generating. A message tells you when the new version is ready.
Edit a document
- On the Documents tab, click Edit on the document.
- The document opens as pages with fields on top. Use Prev and Next to move between pages.
- Fill in or correct the fields. Completion progress and Required fields completed show how far you’ve got. Fix anything listed under Invalid fields.
- Click Save. installHUB makes a new version and keeps the old one under View previous versions.
Hover a field and click More details to see where its value comes from:
- Form field: the value is a form answer. Changing it here updates the answer on the job’s form too.
- Job Attribute: the value comes from the job itself, such as the customer’s address, and can’t be edited here. Change it on the job and the document updates.
Common problems
- A document isn’t there yet: check it under Available document types. It generates once the answers it needs are saved, or once the job reaches the right status.
- Wrong company details: update your company details. Documents on open jobs regenerate with the new details.
- A field won’t change: it’s a job attribute. Change it on the job.
- You need the earlier copy: open View previous versions.
- No Edit icon: only documents built from an editable template have it, and you need permission to update the job.
