Set up installation types and appointment outcomes

Available now on installHUB

Installation types decide what kinds of job your company takes on. Appointment outcomes are the choices your field operatives pick at the end of a visit. Both live under Settings > Jobs & Installations.

Turn installation types on or off

  1. Open Installation Types (https://app.installhub.com/admin/settings/jobs/installation-types).
  2. Use the Enabled switch on a row. Enabled types decide which jobs can be created and assigned to field operatives.

Things to know:

  • You need the Manage company products permission to change a type. The Account Manager role has it.
  • You can’t turn off your last enabled type.
  • Turning a type on adds its products to your catalogue and sets up its standard enquiry form links.
  • Some types are made up of others. Turning one of these on also turns on the types it needs, and the message names them under Also enabled. Turning it off leaves those types on.
  • Each type has its own forms. To change the questions, see Customise your forms.

Required certifications

  1. Click Manage on a type and open Required Certifications.
  2. Click Add Certification, enter the Certification Name, and switch on Mark as Required if every field operative doing this type must hold it. Otherwise it shows as Optional.

When a field operative who does this type hasn’t uploaded a required certification, the Users list shows Missing required certifications against them. The Scheduling tab on the same page sets the job duration and padding for the type.

Manage appointment outcomes

Open Appointment Outcomes (https://app.installhub.com/admin/settings/jobs/appointment-outcomes) and click Add outcome. Give it a Name, a Category and, if you like, a Description:

  • Completed: the visit went to plan.
  • Requires followup: the visit happened but someone has to go back.
  • Cancelled: the visit didn’t go ahead.

Switch on Triggers reschedule if the outcome means the visit has to be booked again. It’s on by default for follow-up outcomes.

Outcomes marked Global are provided by installHUB and can’t be edited or archived. Your own you can edit, archive and restore. Archived outcomes stop showing in the app.

What happens when an outcome is recorded

When a field operative submits a visit in the mobile app, they pick from Completed and Needs follow-up outcomes, add any Additional Details, and tap Submit to office. To call a visit off, they tap Cancel Appointment, pick a reason and choose whether it Needs Rescheduling?.

  • Completed or follow-up: the visit is marked completed, the job is released from the field operative and moves on. An installation visit sets the job’s installation date, unless the outcome means nothing was installed, or someone already entered a date.
  • Triggers reschedule: the visit shows Needs rescheduling on the job and in the scheduler, and the job goes back to be booked again.
  • Cancelled: the visit is cancelled and the field operative is emailed. The customer is emailed if the appointment was set to notify them.

Who is told

Any follow-up or cancelled outcome sends your team an email with the outcome, the details entered, whether it needs rescheduling, and a link to the job. The person who recorded it isn’t emailed. On Enterprise you can choose who gets it under Settings > Email Notifications (https://app.installhub.com/admin/settings/communications/email-notifications). Otherwise every active user receives it.
