Available now on installHUB
Need the customer to answer just part of a job’s form? Send that one section to them from the job. They fill it in online, and their answers appear in the same section on the job.
Who can send
Admins and account managers. A section can only be sent if the form allows customers to answer it: those sections show a Send to customer button. Sections meant for your field operatives on site don’t.
Send a section
- Open the job from Jobs (app.installhub.com/admin/survey) and go to the Information tab.
- Open the form and click the section you need.
- Click Send to customer at the top right of the section.
- The Send survey section to customer? box shows the section’s name. Click Send now.
- You’ll see “The form section has been sent to the customer”.
To ask for more than one section, send each one in turn.
What the customer receives
- An email with the subject “Important information required for your [product] installation with [your company]”. It asks them to complete the named section and has an Open information form button. Replies go to your company’s email address.
- If your company sends texts and the customer has a mobile number, a text with the link too.
The link opens a page in your branding with the requested section. The customer answers the questions, adds any photos or files, accepts the privacy policy and submits.
Where the answers go
The answers save straight into that section of the job’s form, updating any answers already there. Look on the job’s History tab:
- A request to complete job information was sent to the customer, with the section name, when you send it.
- The customer completed the requested job information, with the section name, when they submit.
Check whether it was sent
After sending, the button shows an envelope with a tick. Hover over it to see “This form section was sent to the customer to complete on [date] at [time]”. Use the History tab to see whether the customer has submitted.
Send it again
Click Send to customer again, then Send again now. The customer gets a fresh email and link. Each link works until the customer submits through it. After that, opening it says “Customer request for information has already been completed.”
Things to check first
- The email goes to the address on the customer’s record. If it’s wrong, choose Edit Customer on the customer’s page before sending.
