How to pause a job, archive it, delete it for good, and how the Data Retention setting clears out archived jobs.
You’ll find these options in the Action menu (Select action…) at the top of a job page.
Put a job on hold
- Open the job and choose Put on hold from the Action menu.
- Add a reason under Tell us your reason if you want to, then click Yes.
While a job is On Hold:
- Its status SLA clock stops. It starts again from where it left off when you resume.
- You can’t change its status. Resume it first.
- Your customer won’t see it in their customer portal.
- Automatic quote reminders stop, because they only go out while a job is at Quote with customer.
You can’t put a job on hold while it has a booked appointment. You’ll see “The appointment for this job must be cancelled before it can be put on hold”. Put on hold isn’t offered on jobs that are Completed, Archived or at Quote with customer.
To carry on, choose Resume. The job goes back to the status it had before. Putting a job on hold doesn’t let it skip a gate: any gate still applies from where the job was.
Archive and unarchive a job
Choose Archive, add a reason if you like, and click Yes. An archived job’s status can’t be changed and your customer won’t see it in their portal.
Archive isn’t offered while a job is On Hold or at Quote with customer. To archive an on-hold job, resume it first.
To bring a job back, choose Unarchive. It returns to the status it had before it was archived.
Automatic archiving of old jobs
When automatic archiving is on for your company, installHUB checks once a day for jobs that have gone quiet at the quote stage:
- A job at Quote required or Quote with customer with no quotes is archived six months after it was created.
- A job at those statuses whose latest quote was sent six months ago (or created six months ago, if it was never sent) is archived. Any draft quotes, or quotes still with the customer, are archived with it.
Delete a job
Delete Job is in the Action menu on jobs your company owns. Before anything happens you’ll see a warning: “This action cannot be undone! All data related to this job will be permanently lost, including documents, quotations, history, and associated records.”
Appointments, payment records, messages and DNO submissions for the job go too. If you might need the job again, archive it instead.
A customer can only be deleted once all of their jobs have been deleted.
Data Retention
Go to Settings > Company & Access > Data Retention and set Auto-Delete Period (Days) for Customers and Jobs after Archiving. The value must be 1 day or more. Click Save.
Once it is set, installHUB runs a check every night and permanently deletes:
- archived jobs that were archived more than that many days ago, and
- archived customers with no jobs left, archived more than that many days ago.
This can’t be undone. When you archive a job or customer from a list, the message says how many days are left. Unarchive a job before then to keep it.
